As referenced in the File Templates support article, file requirements for Opioid Antidote Administrations are different depending on whether the submitter is a Healthcare Facility or a First Responder.
| When preparing a file for upload to ERvive, the user may be working from a pre-existing Excel file. These instructions will refer to this pre-existing Excel file as the ‘raw data’ file. Formatting instructions for the fields in the raw data file are described below. |
File Contents
- Required Patient Information is the same across submitter type (First Responders versus Healthcare Facilities). Required Opioid Antidote Administration Information varies depending on submitter type.
- All columns must include headers that exactly match the headers listed in the tables below (which are same as the headers provided in the file templates).
- When no data is available for a given field:
- For OPTIONAL fields, leave the cell blank.
- For REQUIRED fields, cells cannot be left blank. User must either type ‘unknown’ into the cell or delete the record (row) from the file. See the ‘Description’ column in the table below for specific requirements for each field.
- Field entries cannot have any white space characters (no tabs, carriage returns or new lines).
- Except for column headers, text entries are NOT case sensitive (i.e., ‘UNKNOWN’ will be validated and loaded the same way as ‘unknown’ or ‘Unknown’).
Assigning Values for Incident.UniqueIdentifier
The Incident.UniqueIdentifier field assigned to each record or incident. This identifier must be unique across records, uploads, and organizations. It is recommended for each Incident.UniqueIdentifier field, users include the following:
- An organization-specific prefix (found in Section 6 of this document)
- Date of upload
- A numerical value
For example, if a user uploaded for 5 individual records on August 8, 2024, they would use the following naming conventions:
- DHEC82820231
- DHEC82820232
- DHEC82820233
- DHEC82820234
- DHEC82820235
Naming Your File
- Do not include any spaces in the file name. Spaces or special characters in the file name will result in an error during file upload. Bamboo Health recommends using an underscore (_) between words.
- Each new file uploaded must have a unique file name. Multiple files submitted with the same file name will result in an error during file upload. Bamboo Health recommends adding a date and time stamp, or a date and version number to each the file name. For example:
- Organization_Name_YYYYMMDD_HHMM.xlsx
- Organization_Name_YYYYMMDD_V1.xlsx
Keeping Identifiers Unique Across Organizations
- The system will prevent organizations from accidentally uploading a non-unique identifier. This prevents organizations from accidentally changing records not submitted by them. If a unique identifier is found to have been submitted by another organization then an error will show for that record on the Errored Records page as follows:
"Permission denied, record with this unique identifier belongs to another organization".
